Below are frequently asked questions related to payment, refunds, and details about the trip. Registration opens Friday, November 15, 2019 at 8:00 PM EST and will remain open until 11:59 PM EST, December 15, 2019 or until it sells out, whichever comes first:

 

Why is this trip important for my family?

Welcome to Amelia Island, Florida!  We will learn more of OUR story as we visit American Beach and the American Beach Museum.  American Beach is the first black-owned beach resorts and still belongs in part to the founders’ descendants. We will explore the1619 Project and revisit the contributions of our enslaved ancestors.   A highlight of our trip will include a community service project that will impact the local community. 

 

The Ritz Carlton, Amelia Island is the 5 Star host hotel for this trip.  With 13 miles of pristine beaches to explore, you’ll find yourself basking in the glow of the sun as you relax and walk along the sandy shore at this luxurious hotel.  As one of the most popular beach destinations on the East Coast, the luxury hotel on Amelia Island provides a welcome barrier between you and the world beyond. 

 
What is included in the cost of registration?
The cost for adults and teens 13 and up is $275 and the cost for children ages 2-12 is $250.  Each includes the following:
  •  Welcome Bonfire Reception, Friday, March 20th
  •  Breakfast on Saturday, March 21st and Sunday, March 22nd at the Ritz Carlton
  •  Lunch, Saturday, March 21st
  •  Cultural tours and transportation, Saturday, March 21st
  •  Family Fun Night, Saturday, March 21st
  •  Seafood Low County Boil (Barbeque option available), Saturday, March 21st
  •  Community Service Project
  •  Stellar programming for the entire family
  •  Commemorative T-Shirt

What expenses should I expect outside of the registration fee?

  • Secure travel to and from Amelia Island, Florida
  • If traveling by air, transportation from the airport to the hotel (UBERs are limited on the island)
  • Meals outside of those provided with the registration fee
  • Hotel accommodations (Secure link provided after registration)
  • Optional recreational activities for additional costs during our stay such as golfing, boating, spa, tennis, etc.
What is the accepted method of payment?
Credit Cards will be accepted as payment during the online registration process. Personal and chapter checks are not an option.
 
If a mother is registered, can her family participate without being registered?
No, in order to participate in any of the Southeastern Region meal functions and listed activities, all attendees must be registered and will be required to show the event wristband in order to participate. Onsite registration will not be available.
 
Can I invite and register friends and other family members?
The Southeastern Regional Trip is limited to a Mother Members Immediate Family only (spouse, child, teen). A grandmother may participate if she is an Associate.  
 
What is the minimum age for a child to attend? 
Registration is for children and teens ages 2-19.  We will not be offering care for children under the age of 2.
 

What is hotel cost per night?

$349++ per night for Coastal View Rooms.  We have negotiated a reduced daily resort fee of $18/day.  Valet only parking available for $26/day. Please note, you must first register for the regional trip before securing your hotel accommodations at the Ritz Carlton- Amelia Island.

 
How do I reserve a hotel room?
After successfully completing your registration, you will receive a confirmation email with a link to the Southeastern Region room block at the Ritz Carlton. All rooms must have a registered adult/child/teen in the room.  Any rooms reserved in the Jack and Jill block for a non-registered attendee are subject to cancellation.  Hotel rooms are a separate cost from registration and payable to the Ritz Carlton.
 

This is during our Spring Break and I would like to arrive earlier or stay longer, is the hotel rate extended beyond the trip dates?

The Jack and Jill SE Regional Trip resort hotel group rate is available between March 20 – March 22, 2020. Please contact the hotel for additional dates.

 
What is the Refund Policy?
We understand that circumstances change and you may not be able to attend, however, there are no refunds. Substitutions will be accepted through January 15, 2020.  Per the Financial Handbook, do not use the charge-back feature in PayPal; doing so will subject you to additional fees and restrict future credit card use. 

 

If I cannot attend, can another mother or child take my place?

Yes, substitutions will be accepted until January 15, 2020 by sending an email to support@viprllc.com.  Include the name of the person registered and the full name, registration category, and email address of the substitution. All monetary transactions must be between the two mothers. After January 15th, substitutions will not be accepted.  You are responsible for contacting the hotel to change the room reservation.
 
When is the last day to register?
Registration is open until December 15, 2019 at 11:59pm or until it sells out, whichever comes first. Once registration closes, a waiting list will be started. 
 
Our plans have changed at the last minute. Will we be able to register onsite? 
Unfortunately, no, due to deadlines that must be adhered to with third-party providers, onsite registrations cannot be accommodated.

What is the closest airport?
Less than 30 minutes from Amelia Island, Jacksonville International Airport (JAX) links Northeast Florida with cities across North America. AirTran Airlines, American Airlines, Continental Airlines, Delta Airlines, JetBlue Airways, Northwest Airlines, Southwest Airlines, United Airlines, and US Airways are among the carriers that service Jacksonville. 
 
Will transportation be provided to and from the airport? 
Transportation to and from the airport is on your own. We will have transportation arrangements in place for all other regional trip site destinations included in the registration packet.
 
Will there be offsite activities?
Yes, there will be an offsite tour on Saturday, March 21st and transportation will be provided. Please review the agenda page for the most up to date activities and times.
 

If my child misses a day of school will this event be counted as an educational trip? 

It depends on the guidelines of the school. However, this trip will contain many educational components. Mothers are welcome to share the tentative trip itinerary for consideration. (The complete itinerary will be provided later.)  The Region will also provide an “excused absence” letter that can be shared and submitted to your child’s school.
